The specialist ensures proper execution, documentation, and control of procurement activities while establishing governance through consistency, traceability, and standardization. By maintaining transparent record-keeping and standardized processes, and also manages logistics throughout the procurement lifecycle. Plays a key role in integrating procurement, production, and finance functions into an efficient unified system.

Standardization Responsibilities

  • Nomenclature Development and Management
  • Create and maintain standardized naming conventions for materials and equipment
  • Develop hierarchical classification systems for goods and services
  • Establish uniform technical terminology across the organization

Specification Standardization

  • Work with engineering to create template specifications for common items
  • Ensure consistent units of measurement and technical parameters
  • Develop standard attribute sets for different categories of materials

Material Master Data Management

  • Create and maintain material master records in procurement systems
  • Ensure correct categorization of items in material databases
  • Standardize material descriptions for similar items
  • Prevent duplicate item creation through proper classification

Registration Responsibilities

  • Contract Registration and Documentation
  • Register all contracts in procurement systems
  • Ensure all required contract documentation is properly filed
  • Maintain searchable contract databases with appropriate metadata

Vendor Registration and Qualification

  • Maintain standardized vendor registration process
  • Ensure consistent documentation of vendor qualifications
  • Update vendor information according to established schedules
  • Maintain proper categorization of vendors by product/service

Document Control

  • Implement standardized document naming and versioning practices
  • Maintain document templates for procurement activities
  • Ensure proper archiving and retrieval of procurement documents

Logistics Responsibilities

  • Delivery Planning and Coordination
  • Expediting and Follow-up
Documentation Management

Requirements:
  • Knowledge and Experience

  • Understanding of the procurement cycle and supply chain principles
  • Basic knowledge of logistics and construction materials
  • Experience in document flow and working with contracts, invoices, and delivery notes

Technical Skills

  • Proficiency in ERP systems welcomed (e.g., 1C, SAP, Oracle)
  • Advanced Excel skills (pivot tables, VLOOKUP, formulas, filters)
  • Experience with document management systems and electronic archives
  • Confident use of email, internal communication platforms, and shared databases

  • Knowledge of construction industry specifics is a plus
